Stravect Systems (“Stravect”, “we”, “us”) is a business name registered in Kenya. This Privacy Policy describes how we handle personal information when you visit our website or contact us about our technology services. We process personal data in accordance with applicable Kenyan law, including the Data Protection Act, 2019.
2. INFORMATION WE COLLECT
When you submit our contact form, we collect the information you enter, which may include your name, email address, telephone number, organization, service of interest, and enquiry message. Please do not include sensitive personal information unless it is necessary and requested. Our website hosting and security services may also process technical data such as IP addresses, browser information, and access logs to deliver and protect the site.
3. WHY WE USE INFORMATION
We use enquiry information to respond to you, understand your requirements, arrange discussions, prepare quotations or proposals, follow up on potential engagements, and maintain appropriate business records. We may process limited technical data for website operation, troubleshooting, and security. We do not automatically subscribe contact-form users to promotional messages.

Our website uses a server-side contact form. We use email delivery and communication services, including Resend and our business email provider, to receive and respond to enquiries. The website does not currently store enquiries in a Google Sheet. We plan to retain enquiry records in a private Google Sheet managed through Google Workspace if that arrangement is implemented. We restrict access to authorized personnel and do not sell personal data.
6. SERVICE PROVIDERS AND INTERNATIONAL PROCESSING
Providers supporting our site, hosting, email and record storage may process information on our behalf. Some providers may process data outside Kenya. Where applicable, we will assess overseas transfers and implement safeguards required by Kenyan law.
7. RETENTION
We keep enquiry records only as long as reasonably necessary for their purposes. We ordinarily review enquiries that do not result in a client relationship after six months, and delete or anonymize information no longer needed, subject to legal obligations, disputes, or an ongoing legitimate reason for retention. Active discussions may be retained while necessary. If an enquiry becomes a client engagement, relevant records are managed under the applicable client-record retention practices. Copies in email, spreadsheets, backups and other systems must be considered during retention reviews.
8. SECURITY
We use reasonable safeguards appropriate to the information, which may include HTTPS, restricted account access, server-side validation, and access controls for the private enquiry records. No internet system is perfectly secure.
9. YOUR RIGHTS
Subject to Kenyan law, you may request information about our processing, access to personal data, correction of inaccurate data, objection to certain processing, and deletion where applicable. We do not currently plan to use optional advertising or analytics cookies at initial launch. Essential website and security technologies may operate depending on actual deployment.
